Pilot use
The current pilot is intended for synthetic or de-identified information only. Do not enter or record identifiable patient information. DesportAI is a documentation aid, not a diagnostic tool or substitute for clinical judgment. Clinicians must review and verify generated transcripts and notes.
Information processed
Depending on how the service is used, DesportAI may process:
Account information, such as a clinician’s name and email address, and authentication information needed to sign in. Passwords are stored as password hashes rather than plain text. If Google sign-in is enabled, a Google access token is sent to our backend for verification; the extension stores the DesportAI session token.
Consultation information, including audio recorded at the clinician’s request, transcripts, speaker labels, patient details entered by the clinician, and AI-generated draft notes.
Information entered into a supported webpage when a clinician explicitly asks the extension to insert reviewed content. The extension may inspect page-field labels locally to locate suitable fields. It is not designed to collect general browsing history.
Technical and security information, such as service request details and an IP address used temporarily for login-abuse controls. Operational logs may contain technical metadata.
How information is used and shared
We process information to provide sign-in, audio transcription, draft-note generation, record storage and retrieval, clinician-requested export or insertion, security, and service maintenance.
The service is hosted on Amazon Web Services (AWS) in the Mumbai region. When transcription or AI note generation is requested, relevant audio or transcript content is sent to Sarvam for processing. AWS and Sarvam process information to provide the service; they are service providers, not recipients for advertising. We do not sell user information or use it for purposes unrelated to DesportAI’s stated functions.
Storage and retention
Clinical records are stored in the service’s PostgreSQL database. The current deployment is configured to delete eligible live records after 30 days. Extension-local recovery and workflow data is also subject to a 30-day cleanup setting.
AWS database backups are configured with a 7-day retention period. Backups, exports, or snapshots may not be deleted at the same time as live records. Information handled by Sarvam is subject to its applicable terms and retention settings. Do not rely on the live-record deletion period as a guarantee that every backup or provider copy is immediately erased.
Security and access
We use access controls, encrypted connections, and encrypted database storage to help protect information. No online service can guarantee absolute security. Access to clinic records is limited through authenticated accounts and clinic workspaces; clinic administrators should promptly remove access for staff who no longer need it.
Your choices and requests
Clinicians should not submit identifiable patient information during this pilot. For questions or requests concerning an account or information processed by DesportAI, contact de.sports.ai@gmail.com. We may need to verify the requester’s identity and coordinate with the clinic that controls the relevant records.
You can stop using the extension at any time. Removing it from Chrome does not by itself delete records already stored in the service; contact us to ask about deletion.
Changes and contact
We may update this policy when the service or its data practices change. We will update the date above when we do.
